Money Savers
• Packaging – use pallets with black stretch wrap. Cartons to cabinets – avoid loose pieces. (Be discrete when packing valuables…don’t tell them “steal me” by marking packages “TV” or “Computer Enclosed”.)

• Labeling/stenciling – identify you exhibit with customized stenciling. Paint crate corners. (It sets you apart…being different is a good thing!)

• Purchase pads/furniture blankets from a movers supply house. (You can get packaged rates from van lines – you also get better handling when storing your exhibit.)

• Communicate with the general contractor/drayman and installation company. (Wasted time = Wasted $$$)…The information never stops!

• Bill of lading preparation – when shipping air, always declare a value and circle actual weights on bills of lading…it’s a small price for Peace of Mind!!!

• Include your transportation specialist in budgeting and planning sessions. (They have great ideas!)…be proactive!

• At the close of the show, air express sales leads, literature requisition forms or any other important items back to your office…don’t pack them in the exhibit…ISN’T THAT WHAT YOU CAME FOR?

• Shop Service – Compare cost…ALL CARRIERS ARE NOT CREATED EQUAL!

Communication is the key…

• Use a Carrier that is familiar with Tradeshows, and when possible, use a carrier that has a show site representative.

• Make certain that your paperwork is complete and accurate.

• Make certain your delivering carrier arrives with certified weights. GSC normally accepts a General Commodity Common Carriers (Roadway, Yellow, ABF, etc.) delivery receipt weight. Van Line & Special Commodity Carriers must produce a certified scale weight before your shipment will be accepted.

• When you are reviewing your invoice at show site, question any charges that you don’t understand. Ask them to show you why you incurred surcharges. Do it at the service desk…don’t wait until you return!

Leave no margin for error…nothing to chance!
